Match a batch of gifts to the people who gave

A stack of checks or a file from the bank still has to become gifts on the right records. Staff enter the batch or import it, then attach each gift to a person or a household. Names that do not match stay in the batch until someone resolves them.

Where a batch of gifts gets stuck

How the gifts get matched

“The name on the check is close, not exact.”

Pick the person

The directory suggests people as you type. You choose the household. A near match does not silently become a new record.

1 / 4

From a pile of gifts to records you can trust

Enter it or import it

Type gifts one row at a time, or start from a file. Both end in the same batch, with an amount, a date, and a name waiting for a person.

A person or a household

As you type, people already in the directory are suggested. You choose the match. The gift then sits on that record, so a later statement can find it.

Suggestions, not a silent merge

A near-spelling does not create a second person on its own. Staff confirm the household. Two people who share a last name stay distinct because you pick one.

Review before you close

Unmatched names remain visible. The rows and the batch total can be checked before the batch is closed. A variance is something to review, not a number that disappears when you save.

Questions about this page

Does every gift have to match a person before we can save?
You can keep working in the batch. A row without a match stays there until staff attach a person or household.
Can we import a spreadsheet?
Yes. Bring in a file of gifts, map the columns, and match rows to people you already have. Add a person when a name is not in the directory.
Is this the same as checking a bank deposit?
Matching gifts to people is the work here. A closed batch can also be checked against a deposit, but the first job is getting each gift onto the right record.
